Title: (2222) Clerical/Admin Support - Advanced Level

Working Title: Program and Communications Assistant for UMN based nonprofit

Supervisor: Program & Communications Coordinator

Budget Authority: All purchases to be approved by Program Manager before purchase.

Key Responsibilities:

Program Administrative Duties (35%):

  • Track program registrations and prepare participant information Excel file for each program.

  • Coordinate preparation and printing of standard forms required for all programs (check-in sheet, roster, agenda, name tags, evaluation, stipend forms, name tags, and table tents).

  • Prepare program materials, including supplies, binders, and course materials.

  • Perform post-program processing, including scanning, data entry, and filing.

  • Organize program- and development-related bulk mailings.

  • Order food and arrange logistics for courses/workshops as requested.

Data Management (30%):

  • Enter and maintain program participation data in Excel, participant/donor database (GiftWorks), and email marketing platform (MailChimp).

  • Report on database information, as requested, and reconcile databases as needed.

  • Analyze program and participant data as requested.

  • Create and maintain contact lists of participants, schools, etc.

Communications Duties (30%):

  • Assist in maintaining all social media platforms

  • Help manage press contacts and provide support for implementation of press strategy

  • Assist with design and creation of print and digital marketing materials

Events (5%):

  • Support Program & Communications Coordinator with event preparation and management. Attend and help staff events if available.

Additional items:

  • Other projects as assigned.

  • A few evenings and Saturday’s may be required. Early hours (7:00 a.m.) may be required occasionally.

Essential Qualifications: High school diploma/GED. The ideal candidate is a quick learner who is able to work independently and efficiently. Strong organizational skills and attention to detail are a must. Strong communication skills. Proficiency with Microsoft Word, Excel, and Google Apps.

Preferred Qualifications: Office experience. Experience with database applications. Experience with website maintenance. Knowledge of and experience with social media platforms. Experience with Adobe Creative Suite.

Starting Date: As soon as can be filled, fall 2018.

Work Hours: Office hours are 8:00 a.m. to 5 p.m. Need 8-15 hours per week during the fall and spring semester, with hours based on academic schedule. This position is ongoing and can increase to 30 hours a week during the summer.

Wage: $10-$12/hour, depending on qualifications
